Real estate follow-up is full of small moments that matter: a buyer sends updated availability, a seller asks what happens next, a teammate flags missing information, or a vendor confirms a date. The useful role for AI is not to take over the relationship. It is to help the right detail reach the right human before it disappears under the next ten messages.

On August 25, OpenAI announced that scheduled tasks in ChatGPT Work can respond to supported app updates through webhooks. A webhook is simply a signal from one app that something changed. OpenAI lists new Gmail messages, Slack channel messages, and GitHub pull-request activity as supported triggers. For most real estate teams, Gmail is the immediately relevant example: a new message can start a task without someone repeatedly checking for it.

The feature has limits worth stating clearly. OpenAI says webhook-triggered tasks are available to Plus and Pro users in Work on web, iOS, and Android. Free and Go users cannot create webhook-triggered tasks. A shared task does not share the original owner's connected account; each recipient reviews the instructions, connects their own app when needed, and creates an independent copy. Product access and connected-app permissions still control what can run.

Automate the handoff, not the relationship

A sensible first workflow is narrow: when a message arrives in one approved inbox or channel, ask AI to identify the topic, extract an explicit deadline if one is stated, and prepare a short internal summary with a suggested next step. The output goes to the agent or team member for review. Nothing is sent to the client automatically.

That can save the mental effort of reopening a thread just to remember what changed. It may also make a morning or end-of-day review more complete. But it does not make the AI the owner of the follow-up. The agent still decides whether the message is urgent, whether the requested action is appropriate, whether another professional should be involved, and what tone the relationship calls for.

OpenAI's release notes say actions requiring approval pause for review. Treat that as a minimum control, not a substitute for a good workflow. Keep an explicit approval step before sending a message, changing an appointment, submitting information, updating a record, making a commitment, or taking any other consequential action.

Choose triggers with a low-regret test

A trigger is useful when it is specific enough to review quickly and harmless when it occasionally misunderstands a message. “Summarize new messages from the team inbox for my review” is easier to supervise than “handle all leads.” A broad instruction invites the system to make choices about relevance, urgency, and response that belong to the business.

Start with fictional messages or an internal channel containing no client information. Measure simple things: Did the task run when expected? Did it capture the actual request? Did it invent a deadline? Did it confuse a forwarded email with a new instruction? Could a teammate understand why the item was surfaced? The goal of the test is not a dazzling draft. It is a dependable, reviewable handoff.

Keep four decisions human

Facts: AI can extract a date, address, name, or request incorrectly. Compare every important detail with the original message and the responsible system of record.

Priority: A machine can sort by words or rules, but it may miss relationship context. An anxious client, a sensitive negotiation, or an unusual transaction issue may need attention for reasons that are not obvious in one email.

Advice: Do not let an automated task interpret contracts, financing, taxes, insurance, fair-housing requirements, security issues, or brokerage policy. Route the question to the appropriate qualified person and use current source material.

Communication: Review the full thread, recipient list, attachments, tone, promises, and next step before anything leaves the business. A fast response is not helpful if it goes to the wrong person or confidently states the wrong thing.

Limit access before adding real data

Connected inboxes and team channels can contain identification records, financial details, negotiation positions, access instructions, and conversations involving people who never expected an AI workflow. Before using live information, confirm the product's current data controls, your organization's settings, brokerage policy, record-handling requirements, and the minimum account access the task needs. A dedicated low-risk inbox or channel is easier to govern than an entire business account.

Write down who owns the task, what starts it, what data it may read, where the output appears, and which actions require approval. Also decide how to pause it. When the owner is away, an app connection changes, or the output begins drifting, the team should know how to stop the automation and return to the ordinary process.

A practical action checklist

  • Pick one internal follow-up bottleneck with a clear owner.
  • Use fictional messages or a low-risk internal channel for the first test.
  • Ask AI to summarize and prepare a draft, not to send or decide.
  • Limit the connected account, channel, and information to what the task needs.
  • Verify dates, names, requests, and suggested next steps against the original message.
  • Require human approval before every external message or consequential action.
  • Review misses and false alarms weekly, and keep a simple way to pause the task.

Use speed to create more attention

The best result is not “AI answered first.” It is that the agent arrived at the conversation prepared, with fewer details lost and more attention available for the person. If a triggered task creates a clean internal handoff while preserving human judgment, it may earn a place in the business. If it adds noise, hides context, or pressures the team toward automatic sending, make it smaller.
